Match Day Rosters and Registration Requirements

1. Pre-Match RX Registration and Rosters

  • Mandatory Registration: All players must be registered in Rugby Xplorer (RX) before kickoff with public profiles (no Name Withhelds). Admins, coaches, and captains are responsible for verifying player eligibility.
  • Roster ID Checks: Teams may request an ID check before any match.
    • Players without a physical ID must consent to a photo for verification.
    • Note: If a team fails to request a pre-match ID check, it may weaken any subsequent eligibility complaints.
  • Roster Submission: Rosters must be entered into RX via Matchday at least 12 hours before kickoff.
    • Penalty: Failure to submit results in a 1-point deduction.
    • Grace Period: Each team receives one “grace period” (waived penalty) per competition year for a late initial roster or a Name Withheld.

2. Post-Match Requirements

  • 48-Hour Window: Teams have 48 hours after the match to finalize scoring, roster corrections, substitutions,  and cards and correct any private profiles (Name Withhelds).
  • Late Re-Opening: If a roster must be re-opened after the 48-hour deadline:
    • A 1-point deduction will be applied.
    • The roster will remain open for only 24 hours.
    • Grace Period: Each team receives one “grace period” per competition year for re-opening a roster.

3. Protests & Illegal Players

  • Protest Timeline: Protests must be filed within 72 hours after the final 48-hour entry period closes.
  • Evidence: Protests must be filed by the affected club and include evidence (photo, video, or social media posts).
  • Illegal Players: Using unregistered players or “ghosting” (playing under another person’s name) is strictly prohibited.
    • Discovery: These infractions can be flagged at any time during the current competition period.
    • Liability: Players, Captains, and Club Presidents are all subject to suspension.

4. Suspensions & Appeals

  • Duration: Suspensions range from a minimum of 1 game to a maximum of 6 games.
  • Carry-over: Suspensions may carry over into the following competition year.
  • Appeals: All disciplinary decisions may be appealed to the GU President.
